Your shipping plan starts with a simple choice: deliver during the show’s receiving window, or send freight earlier to its advance warehouse. NEX EXPO handles pickup and delivery around the route your show accepts, then helps plan the return or your next event. Here is how the two options work and what to include in your budget. What NEX EXPO handles.

NEX EXPO handles pickup, transportation, receiving instructions, shipping paperwork, final show delivery and pickup after the event.

Choose the receiving route before booking

NEX EXPO coordinates receiving times, freight labels and carrier check-in around your show’s schedule. Use the exhibitor manual for your exact edition to confirm the receiving dates, booth references, designated freight receiving address and material-handling rates, rather than using the visitor entrance.

Planning question

Advance warehouse

Direct to show

Where does the carrier deliver?

The show's designated warehouse

The confirmed show receiving location

When can freight arrive?

During the published warehouse receiving period

During the assigned show receiving window

What needs coordinating?

Warehouse eligibility, labels and arrival before the cutoff

Carrier timing, marshaling, check-in and dock instructions

Which additional services matter?

Receiving, storage, transfer, material handling and any special services

Material handling, waiting time and any special services required by the show

Compare transportation and show services separately

NEX EXPO quotes transportation to the receiving dock. The show contractor manages dock-to-booth movement and freight release, and bills material handling separately. Compare its applicable rates, minimums, special handling and late-arrival charges alongside your freight quote.

For example, if one packed pallet is ready well before move-in, check whether the warehouse can receive it and what storage or handling is included. If it becomes ready close to move-in, confirm that a carrier can meet the direct-delivery window. Enter the same packed size, weight, route and requested services in each comparison. Do not compare a transportation-only quote with a total that includes show services.

Use a practical booking checklist

  1. Find your show edition and check its organizer's exhibitor manual.

  2. Confirm the permitted receiving option, exact address, labels, dates and booth number.

  3. Choose standard package types and quantities that fit your packed freight. For custom crates, enter the fully packed dimensions and weight.

  4. Review transportation pricing and obtain the contractor's separate charges.

  5. Confirm pickup readiness, appointment, marshaling, carrier check-in and labeling requirements, and a contact who can resolve questions. A missed receiving window can delay or prevent delivery and add waiting or redelivery charges.

  6. Plan packing, the show contractor’s material-handling agreement or release paperwork, and the return destination before the show closes.

Common mistakes to avoid

  • Using a visitor entrance or an old edition's delivery address.

  • Assuming a show date is a freight receiving appointment.

  • Calling every charge “drayage” and missing the separate transport, storage and handling items.

  • Assuming a carrier's bill of lading replaces the contractor's outbound release paperwork.

  • Booking a return pickup before confirming when the freight can be packed and released.
