Your show’s closing time is the start of the next shipping leg. Plan the destination, packed pieces and freight release before teardown so NEX EXPO can handle collection and onward delivery. Book return freight with your outbound shipment for the applicable return discount, or ask NEX EXPO about storage or your next show-to-show move. This guide covers the handoff details that keep the plan clear.

Before the final show day

  1. Review the exhibitor manual for move-out times, empty-container return procedures, carrier check-in deadlines and forced-freight rules.

  2. Confirm the return destination and receiving contact. Disclose access restrictions or loading-equipment needs.

  3. Tell NEX EXPO the expected piece count, packed dimensions and weight. Update these details if freight changes.

  4. Identify the exhibitor representative who will pack, label and complete the contractor's release process.

  5. Arrange any required packing materials, labor or equipment. Keep the contractor's service-desk contact available.

Pack and count the freight

Pack after the show's dismantling time and return of empty containers. Follow the contractor's schedule, secure the contents and use packaging suited to the agreed handling method.

Count every pallet, crate and case, and match the final count to the paperwork. Apply return labels and remove obsolete destination labels. Take photographs of the closed freight and labels. Use our crate, pallet and case preparation guide to recheck packed measurements.

Keep the two paperwork responsibilities clear

Show-contractor release: the contractor may require a Material Handling Agreement, outbound shipping form or another release process. Follow the event's instructions for where and when to submit it, carrier identification, destination, piece count and any required authorization. Retain a copy or submission reference.

Carrier transportation documents: confirm the bill of lading, labels and pickup reference with NEX EXPO. Match them to the released freight and complete the contractor's separate release process before collection.

For example, three crates may be booked for collection, but only two are packed when the paperwork is submitted. Resolve the count and readiness mismatch before release; do not assume the driver can find, pack or add the missing crate.

Coordinate pickup after release

  • Confirm that all freight is packed, labeled and ready in the location designated by the contractor.

  • Confirm completion of the contractor's outbound paperwork and any outstanding release requirement.

  • Provide NEX EXPO the final count, documents, release reference and reachable on-site contact.

  • Follow the event's carrier check-in and collection window. Driver check-in and actual loading can occur at different times.

  • Keep someone available to resolve questions until the freight is collected under the agreed arrangements.

NEX EXPO picks up your freight after release, following the show’s move-out schedule. Waiting, storage or redirection may carry separate charges.

If the freight is not ready or the plan changes

Contact NEX EXPO and the contractor promptly if packing runs late, a piece is missing, the carrier cannot meet the check-in deadline or the return address changes. The event may apply forced-freight or alternate-carrier procedures under its rules. Ask about the available options and charges before assuming that freight can remain at the venue.

For storage or delivery to another show, ask NEX EXPO about arrangements and agree on the destination and receiving plan before collection.
